FEATURE OF THE MONTH

AUGUST 2007

REMOTE SYSTEM PREFERENCES V8

Central Administration from the main location, that is the idea behind this feature of the month. Remote system preferences allow you (THE MAIN) to have control over the preferences that the remotes have.  Tax areas changing? Adding new flags?  Using remote system preferences allows for a few things, consistency and control.  Here is how you use them.  This feature assumes that you are multi store and poll between locations.

Log in with a high user access sysadmin will work for sure. Go to TOOLS>MORE>POLLING and then choose STATIONS, you will see your remote locations.  Highlight one location and then select the REMOTE PREFS button.  If the button is grayed out you either need to log in as a more powerful user or you are on a

version of 8 series that this feature is not implemented in yet.

Then choose DEFINE SYSTEM.  If this is the first time you

have used this feature, it copies the prefs from the main

all the tax areas all the flags etc.  If it is not the first time

and you want to reset the Prefs to match the main choose

RESET PREFS.  I personally do not use the copy system

As there are some things we need to set in each stores

Remote prefs.  DO NOT USE the WS PREFS in this area.

Once you choose Define system it will bring up the remote

System prefs and it is a copy of the mains, so if their taxes

are changing for 8.0% to 8.25% and you have already fixed this at the main then the new

tax rate should be applied.   If this is not the first time you have used remote system prefs you can either reset them which will copy the new tax rate to remote prefs or you can edit the tax rate in remote prefs if you find that easier.  REMOTE PREFS>DEFINE SYSTEM>then choose the plus next to taxes, tax areas and change the rate for the tax rate in question.   There are a few things that I always check to make sure that the store sells from the correct locations.

First NOTE THE STORE NUMBER IN THE UPPER RIGHT CORNER OF THE REMOTE PREFS SCREEN

in this example I am edit the remote prefs for 000A.  Then once in remote prefs click on the + next to point of Sale>Sales orders>options on the right side of the screen it says process at and sell from  you need to have the Store that you are configuring in the list of process at.  (usually all stores should be in this list and this should be done in the mains system prefs and it should copy over)  and the sell from store # box at the bottom should be the store listed  in the right corner so in my example it should say 0

For the sell from store this is the

setting that makes sure that the

                                                                                    inventory comes out of the

                                                                                    correct store for Sales orders.

The other option that I set is the

                                                                                    STORES>STOREASSIGNMENTS

                                                                                    Pictured below. Again everything

Here should be the store you re configuring the remote prefs for so in my example it is store 0.  choose OK

Sending Remote prefs down to stores.  Remotes get their preferences from the remote prefs area so changing something at the main will not send it down to the remote you must change it in remote system prefs then depending on the check list in polling, or you can initialize for prefs, either will send them down to the remote.

Below is the polling check list for prefs, you access this by going to TOOLS>POLLING>STATIONS.  Highlight the station and then choose EDIT. At the

bottom there is a CHECKLIST TAB.  Select Preferences from the list.  This will display the check list of preferences.

As you can see there are 3 options NONE=don’t send.  ALL=always send and ALL IF CHANGED=if the value is different from last polling send.

Your other option is to initialize.  This feature FORCES the prefs down.  Usually when we need something to get there I tell people to initialize.  Here is how to initialize.  In the polling window select the station the choose INITIALIZE

Check both sets of Preferences and (8.5)  UNCHECK WS PREFS and EFT SETTINGS

On both sets of Prefs.  Both sets of prefs boxes need to be checked to send everything down. If you want to send down Shifts or taxes, then only check those boxes but if they are available in both preferences and Preferences 8.5 check them in both locations.

WARNING!!! USING REMOTE PREFS WILL CHANGE PREFS AT REMOTES.

If using for the first time I would suggest a few precautions.  Don’t do it on a Friday or right before a busy time do it on a Monday so you will be there all week to fix any issues that come up.  Also your first time doing this DO NOT do all stores at once.  Choose a store to send remote prefs to, make sure everything goes down to the store as expected.  Once you verify that it worked correctly.  Define and send remote prefs to the rest of the locations!

REMOTE SYSTEM PREFERENCES V7

Remote prefs in 7 series accomplish the same tasks as in 8 but don’t Require some of the tweaks that the 8 series version does.  All the same warnings apply.

To use remote system prefs in 7 go to the main menu of 7 series RPRO and choose polling, put in your highest password.

Select the station> then go to tools>and remote system preferences and choose define

This will open the DOS system prefs for the remote.  Edit the values you want to send to the remote.

TO poll it down select the station choose tools and select initialize> the box will come up as shown below.  Only check what you want to send to the remotes.
