With another year of holiday shopping at hand, retailers are gearing up for long lines and hectic days. To help you make best use of Retail Pro during this time, we’ve prepared a feature of the month designed to teach you how to setup and print gift receipts. Using Gift Receipts in Retail Pro version 8 involves printing a former receipt, but using a different document design that omits price and tender detail. The following steps outline where to place the gift receipt design, and how to setup Workstation Preferences to accommodate gift receipt printing.
First, you must have the gift receipt design file saved in the proper location. You can either use Doc Designer to modify your existing design to NOT include any price/tender amounts and save it to a different filename, or follow steps 1-3 below to use a BHD default:
1) Download and save the BHD Gift receipt design (ZIP file) for 8 series users from the link accompanying this feature of the month on our website. Once downloaded, right-click on the file and choose EXTRACT TO…
2) A WinZip window will appear, and you must click I AGREE.
3) A dialog window will appear. Navigate to extract the file to the RETAIL8\RPRO\DESIGN\DOCDESIGNS\RECEIPT folder. Click EXTRACT in the upper right of the screen as shown below.
4) Next, open Retail Pro. From the main screen click OPTIONS from the main icons at the top, and then W/S PREFERENCES from the side toolbar.
5) Click the word PRINTING on the bottom left of the screen.
6) At the top, make sure that the option “Override Individual Document Settings” is UNCHECKED.
7) From the PRINTING AREA drop-down at the top of the screen choose RECEIPTS. Check as ACTIVE the printer that should print a normal receipt, and in the design column choose the appropriate design. Your screen should look similar to the one below. Repeat this step for other printing areas (Credit Card Receipts, SO Deposit Receipts, etc.) that should print a normal receipt. (NOTE: Depending on your W/S Preferences, this step may already be completed for you)
8) From the PRINTING AREA drop-down at the top of the screen, choose FRMR RECEIPTS. Check as ACTIVE the printer that should print the gift receipt, and in the design column choose the GIFT receipt design. Your screen should look similar to the one below. (NOTE: If you still would like the option of reprinting a normal receipt design, you must also the check the option at the bottom of the screen to “Allow Change at Time of Printing” for DESIGN.)
9) Now, to finally print a gift receipt. Create and update a receipt as usual. After UPDATING the receipt, press ESC or click the back button at the top of the side toolbar. You will be returned to the list of former receipts, and highlighted will be the receipt you just completed.
10) Click the PRINT icon at the top of the screen and a gift receipt will print. (NOTE: If many workstations are using Retail Pro, you may have to scroll up and highlight the desired receipt to print a gift design for before clicking PRINT)

Setting up Gift Receipts to print is a different process for 7 series users of Retail Pro. Essentially, you must go into Workstation Preferences and setup both Printer A and B as the receipt printer. The only difference between the two is that one defaults to the gift receipt design. So, only perform the following steps on workstations that use ONE printer for Retail Pro documents.
First, you must have the gift receipt design file saved in the proper location. You can either use Doc Designer to modify your existing design to NOT include any price/tender amounts and save it to a different filename, or follow steps 1-3 below to use a BHD default:
1) Download and save the BHD Gift receipt design (ZIP file) for 7 series users from the link accompanying this feature of the month on our website. Once downloaded, right-click on the file and choose EXTRACT TO…
2) A WinZip window will appear, and you must click I AGREE.
3) A dialog window will appear. Navigate to extract the file to the RETAIL\RPRO\DESIGN folder. Click EXTRACT in the upper right of the screen as shown below.
4) Open Retail Pro. From the main screen, click PREFERENCES and then WORKSTATION.
5) Hit ENTER to go into SETTINGS, and then scroll down 40 lines to PRINTER B and hit ENTER.
6) Setup the PRINTER TYPE and PORT to match your Printer A settings. Your screen would look as below if you had a Samsung SRP-350 receipt printer installed on LPT1.
7) Hit ESC, and then arrow down to (Printer B>Documents>)INVOICES. Hit ENTER there, and set the option INVOICE DESIGN FILE to be the name of the gift receipt design you will be using. Your screen would look as below if using the BHD default gift receipt design downloaded from our website.
8) Finally, hit ESC and then arrow down to PRINTER OPTIONS>DESTINATIONS and hit ENTER.
9) Hit ENTER again on INVOICES and set the option to be SELECT. (NOTE: Using SELECT will cause a window to appear at the end of each transaction asking the user to select either Printer A (normal design) or Printer B (gift design). If you would prefer that gift receipts always print when an invoice is updated, you can set this option to BOTH.)
10) Hit ESC three times to exit out of Workstation Preferences.
11) Now you’re ready to print gift receipts. Complete an invoice as usual. At the end, a window will appear prompting you to choose Printer A or B. Choose Printer A to print a normal invoice design.
12) To print a gift receipt in addition to this, hit ESC to exit to the INVOICE menu.
13) Arrow down to FORMER INVOICES and then hit ENTER.
14) Press P and then arrow down to PRINTER B. Hit ENTER. A gift receipt should print. (NOTE: If many workstations are using Retail Pro, you may have to use CTRL+PGUP to find the desired receipt to print a gift design for)
